How to Convert a PDF to Grayscale
Print shops charge several times more per page for colour. Office printers count colour pages against a separate quota. A thesis, a tender, a court bundle may be required in black and white. And a scanned document full of faint colour casts simply looks worse than a clean greyscale version.
Converting the PDF itself — rather than ticking a box in a print dialog — solves all of those permanently, and usually makes the file smaller too.
Printing in black and white is not the same as a greyscale PDF
This is the distinction that matters, and it is the reason the tool exists.
When you tick “black and white” in a print dialog, the file stays in colour. The driver converts on the fly, on that machine, with that driver’s idea of how to map colours to grey. Send the same file to a different printer, a print shop, or a colleague and it prints in colour again — and gets billed as colour.
Converting the PDF changes the document itself. Every page is now greyscale wherever it goes. There is no setting to forget, no operator to instruct, and no invoice surprise.
Many commercial print services also charge by what the file contains, not what you asked for. A page with a single stray coloured logo counts as a colour page. Converting first removes that argument entirely.
Convert a PDF to greyscale, step by step

Your text stays real text
A common worry, and worth answering directly: this is not a screenshot of your document. The tool converts colour space, it does not rasterise pages. Text remains selectable and searchable, vector graphics stay sharp at any zoom, and links and bookmarks survive.
That is the difference between this and the crude approach of exporting every page as an image and reassembling them — which would destroy searchability and inflate the file.
The file usually gets smaller too
Colour images store three channels per pixel. Greyscale stores one. On a document full of photographs or colour charts, the saving can be substantial; on a mostly-text document with a coloured header, it is modest.

What to check afterwards
- Charts that rely on colour to be readable. A pie chart with red, green and blue slices can become three near-identical greys. If your document has charts, look at them before sending. The proper fix is patterns or labels in the source document, not any conversion setting.
- Light-coloured text. Pale yellow or light green on white was already low contrast in colour; in grey it can approach invisible.
- Highlighted passages. Yellow highlighter becomes a light grey wash. Usually still legible, sometimes not.
- Logos and letterheads. These convert fine but check your organisation is content with a greyscale mark on outgoing documents.
None of these are conversion faults — they are what colour information carrying meaning looks like once the colour is gone. Reviewing the output once is a ten-second habit worth having.
Greyscale is not the same as bitonal
Worth knowing the vocabulary, because scanning software uses it. Greyscale keeps a full range of tones, so photographs still look like photographs. Bitonal(or “black and white” in scanner settings) allows only pure black and pure white, which produces the smallest files for typed text but destroys photographs.
