How to Make a Scanned PDF Searchable

You open a scanned contract, try to search for a name — and nothing happens. You try to copy a paragraph, and you can not select a single word. That is because a scanned PDF is really just a stack of photographs of paper. The words are pixels, not text. OCR (optical character recognition) fixes that by reading the image and adding an invisible, searchable text layer on top. This guide shows how.

Searchable PDF vs. plain scan

The pages look identical before and after — that is the point. What changes is what is hiding underneath:

  • Before OCR: the page is an image. Search finds nothing, and text can not be selected or copied.
  • After OCR: an invisible text layer sits exactly over each word, so you can search, select and copy — while the page still looks like the original scan.

How to get the best OCR results

  • Scan at 300 DPI. Too low and letters blur; OCR accuracy drops fast below 200 DPI.
  • Keep pages straight. Skewed or rotated scans confuse recognition — straighten them first.
  • Good contrast helps. Clean black text on a white background reads far better than faint or shadowed scans.
  • Printed text works best. Handwriting is unreliable for any OCR engine.
