How to use the ODS to PDF

Convert ODS to PDF
Spreadsheets and PDFs disagree about something fundamental. A Calc sheet is an open grid that runs off in both directions for as long as you keep typing; a PDF is a finite stack of sheets of paper. Nothing inside an .ods file says where one page ought to stop and the next begin. Turning one into the other is therefore much less like rendering a document and much more like printing one — and the outcome is decided by settings most people have never opened.
The settings in your workbook that decide the result
LibreOffice Calc reads all of the following straight out of the file you upload. Spending two minutes on them in Calc before converting is the difference between a tidy handout and fourteen pages of confetti:
- Print ranges.Format → Print Ranges → Define pins the export to a specific block of cells. Without one, everything holding content is fair game, including the stray figure somebody once typed into cell BZ400 and forgot.
- Scaling. The Sheet tab of the page style is where a twenty-column table gets told to fit one page across. Leave it on the default and wide tables are simply sliced vertically, with the last few columns marooned on pages of their own.
- Orientation and paper size. Landscape is the single quickest fix for a table that is wide rather than long.
- Repeating rows and columns.Nominate your header row and it is reprinted at the top of every page, so page six is still readable without flicking back to page one.
- Manual page breaks. Anything you inserted in page break view is honoured, which is how you keep a department or a quarter from being split across two pages.
What a fixed page cannot do that a grid could
The trade you are making is interactivity for permanence. Formulas resolve to the numbers they currently produce and the logic behind them does not travel. Sorting, filtering, pivoting and what-if edits all stop being possible, cell comments are not printed, and charts arrive as finished pictures rather than objects linked to their data. In exchange nobody can nudge a figure, no recalculation can change a total between your screen and theirs, and the layout you approved is the layout they receive.
If that trade is the wrong way round for what you are doing:
- The other side needs a working model in Excel → ODS to XLSX keeps the formulas intact.
- You are collating monthly exports into one document → Merge PDF, after converting each workbook here.
- An .xlsx needs to go the other way first → XLSX to ODS, or convert it directly with XLSX to PDF.
Where the work happens, and why not on your device
Pagination of this kind is not a formatting trick a script can fake. It requires the spreadsheet engine that understands ODF page styles, print ranges, repeat rows and scaling modes, and that engine is a full desktop office suite — nothing a browser tab can host. So the workbook travels to a server that runs it. That hop is encrypted end to end, the conversion is confined to a disposable directory created for your request alone, and the directory and everything in it are removed once the PDF has been sent back to you.
Frequently Asked Questions
My columns spilled onto extra pages. How do I stop that?
Open the file in Calc, go to Format then Page Style and switch to the Sheet tab. Under Scaling, choose 'Fit print range(s) to width/height' and set the width to 1 page while leaving the height blank. Save, then convert again. Landscape orientation on the same dialog buys you roughly another third of a page of width if one page wide is still too cramped.
Where did my gridlines go?
They were never going to appear. In Calc the grid you see on screen is a working aid, not part of the sheet, and it is switched off for printed output by default. If you want the ruled look in the PDF, either tick Grid in the Page Style dialog's Sheet tab, or apply real cell borders to the range — borders are part of the formatting and always come through.
Does every sheet in the workbook end up in the PDF?
Every visible one does, each starting on a fresh page in tab order. Sheets you have hidden are skipped entirely, as are hidden rows and hidden columns inside the sheets that do get exported. That makes hiding a handy way to trim a working file down to the part you actually want to circulate, without deleting anything.
Can the recipient still see my formulas?
No, and that is often exactly why people convert. Each cell is printed as the value it currently shows, so the calculation behind it, the named ranges, the sheet protection and any comments attached to cells all stay behind in the .ods. Anyone who needs the working model rather than a snapshot of it should be sent the spreadsheet itself.
Is there a charge, a watermark, or a size ceiling?
None, none, and 100 MB per file. No registration is involved and nothing is stamped onto the finished pages. A workbook that large is unusual for a spreadsheet unless it carries a lot of embedded imagery, so in practice the limit is rarely the thing that stops you.
